Experienced Construction Site Administrator Required | On-site, Cork
Your new company
Our client is seeking an experienced Site Administrator to support the smooth running of a busy construction project. This role will provide full, effective and timely support to project teams, including project administration, document control and liaison with visitors to site as required.
Your new role
- Initial set up, continuous updating, management and maintenance of a central system of all data, paperwork and information for site operations.
- Co-ordination of all matters relating to Health & Safety on site, including Health & Safety Inductions for employees, subcontractors and service providers.
- Responsibility for communication with the Health & Safety Authority.
- Supporting Safety Personnel in the implementation of the Safety Management System.
- Co-ordination of site audits, including weekly site monitoring visits.
- Acting as Client Liaison Officer dealing with allowances, extras, specifications and queries.
- Management of all handover documentation relating to property registration.
- Management of documentation, certification and registration including Homebond, Operation & Maintenance, Quality, Environmental and BCAR files.
- Providing progress reports to Project Managers.
- Completing all paperwork to ISO standards.
- Processing orders for materials and plant through the procurement team and ensuring Purchase Orders are issued.
- Scheduling site deliveries and maintaining optimum operational levels.
- Inspection of deliveries, sign-off and reconciliation of orders with delivery dockets.
- Recording GRNs on the COINS system.
- Maintaining site logs, reports and registers.
- Organising site inductions and maintaining personnel records for site attendance.
- Maintaining registers of safety equipment and PPE.
- Hiring and off-hiring of plant in conjunction with site management.
- Managing site enquiries and ensuring a professional reception to visitors.
- General administration duties including scanning, filing, typing, emailing, organising meetings and basic Excel work.
What you'll need to succeed
- Minimum 3 years' experience as a Site Administrator in a construction site office environment or similar.
- Excellent computer skills with advanced use of the MS Office suite.
- COINS experience desirable but not essential.
- Strong knowledge of Health & Safety legislation.
- Strong attention to detail and organisational skills.
- Excellent communication and interpersonal skills.
- Ability to work on own initiative and as part of a team.
- Experience dealing with multidisciplinary teams, subcontractors and suppliers.
- Ability to prioritise workloads, multitask and work under pressure.
- A proactive, problem-solving approach and willingness to learn.
