Senior Personal Assistant | Dublin City | FTC | Insurance Industry

Your new company :

Are you a Personal Assistant looking for an exciting new role? Here at Hays we are looking to speak with an experienced PA about a truly exciting role working with a global brand in the insurance space based in the heart of Dublin City Centre. They are looking for a PA to join their team on a permanent basis.

Your new role :

  • As PA, you will actively manage the CEO's, Directors' diary and arrange regular and adhoc meetings, inviting attendees, preparing agendas, coordinating presentations, and taking notes in the meeting as required.
  • Email Management
  • General administration and support such as organising events. Identifying and ensuring papers are available for meetings. Preparing expenses and collating all receipts.
  • Organisation of domestic and international travel for business trips, as well as the ExCom team and other corporate events.
  • Arrange regular and adhoc meetings, inviting attendees, preparing agendas, coordinating presentations, and taking notes in the meeting as required.
  • Coordinate an agenda and papers for monthly team meetings, ensuring meeting rooms and IT equipment are booked.
  • Liaise with offices of the AXA UK & Ireland management committee, CoSec and other secretariat functions of external bodies such as CBI, Government Depts.
  • Working closely with the CEO Business Manager to effectively support the CEO.
  • Meeting and greeting visitors at all levels of seniority.
  • Devise and maintain office systems, including Boardroom and Video Conferencing facilities, meeting rooms, data management and filing.

What you'll need to succeed :

  • Minimum 2- 5 years’ experience working at C-Suite level within financial services.
  • Proven experience of managing the range and complexity of activities and external stakeholder relationships that come with the role of supporting a busy CEO.
  • Experience of effective and diplomatic interactions with very senior internal and external stakeholders, and their offices and teams.
  • Exceptional written and verbal communications, which are timely, clear, incisive & delivered in detail relevant to the audience.
  • High level of confidentiality, strong learning agility and able to work at pace.
  • Expert knowledge of admin software; Excel, Word, PowerPoint, Outlook.
  • Ability to travel and co-work with the CEO’s diary.
  • Flexible and adaptable with the ability to multitask.
