Purchasing Assistant required in South Clare

Your new role
- Research suppliers and negotiate the best prices/quality.
- Track orders and ensure timely delivery.
- Enter order details (e.g. vendors, quantities, prices) into internal databases.
- Monitor Procure Wizard orders from different departments and adjust quantities or replace products when necessary.
- Source new requested products and negotiate the best prices.
- Work closely with all departments, ensuring all requests are dealt with in a fast and efficient manner.
- Understand and monitor price fluctuations and negotiate with suppliers to ensure the best prices/quality are achieved.
- Monitor stock levels and place orders as needed.
- Processing of supplier invoices and credit notes.
- Assist the purchasing manager in negotiating prices and maintaining good relationships with suppliers.
- Prepare month end and assist with payment processing.
- Reconcile statements and request missing invoices.
- Monitor and update stock-take prices and ensure stock levels are maintained, taking into consideration seasonal factors.
- Make sure all invoices are matched with delivery notes and request credits for missing deliveries.
- Have good knowledge of wines, spirits, soft drinks and food produces.
- Be able to deal with correspondence (emails) from suppliers and internal in a cordial and efficient manner.
- Assist with year-end auditing and CFO requests.
- Purchasing systems and procedures.
- Delivery controls and monitor shipments.
- Reporting at the earliest opportunity of any delays that may impact on service standards.
- Processing of supplier invoices & credit notes.
- Assisting with month-end and payment processing.
- Assisting purchasing manager in negotiating prices with suppliers & maintaining strong working relationships with suppliers.
- Completing price comparisons.
- Assisting with product sourcing.
- Supplier statement reconciliations.
- Having a shared responsibility in debit/credit card controls in conjunction with the Purchasing Manager.
- Stock control and stocktakes and ensuring stock levels are maintained, considering seasonal factors.
- Keeping in regular contact with suppliers to ensure on-time delivery of POs.
What you'll need to succeed
- Have a minimum of 2 years’ experience in a similar role.
- Knowledge of Procure Wizard software (desirable)
- Have strong numerical skills.
- Excellent IT Skills with the ability to use systems efficiently, including Word and Excel.
- Strong communicator with the ability to liaise with suppliers.
- Ability to work on your own initiative.
