Your new employer is a leading Irish semi-state service provider. They are committed to growth, innovation and sustainability continues to be top of their agenda. They now require a Personal Assistant to join their team on a 6-month basis.

Your new role

The Personal Assistant will provide high‑level administrative support to the College Librarian in a fast-paced environment, ensuring the smooth and efficient operation of the Librarian’s office. The role involves extensive liaison with colleagues across the library, the Library Leadership Team, the Vice President for Learning & Teaching’s functional area, senior managers, and external stakeholders.
Key responsibilities include managing the Librarian’s complex diary and correspondence, handling and distributing highly confidential information, and preparing reports, briefings, and documentation for internal and external meetings. The postholder will support leadership meetings through minute‑taking, document circulation, and follow‑up actions, and will contribute to projects aligned with strategic priorities.
Additional duties include coordinating domestic and international travel, organising hospitality for visitors, conducting research, responding to queries, and supporting institutional reporting requirements. The role requires strong initiative, discretion, and the ability to work to continuous deadlines while maintaining high standards of confidentiality and compliance with institutional policies. The postholder also has responsibilities under health and safety legislation and must ensure that all work is carried out safely and in line with statutory requirements.
As the College continues to expand and evolve, flexibility in the allocation of duties will be required. The duties listed above are not intended to be exclusive or restrictive; tasks may be added or withdrawn, with any changes made following consultation with the appointee.

What you'll need to succeed
The successful candidate will hold a third‑level or relevant qualification and have substantial experience supporting a senior executive, including at least two years in a comparable PA role. They will bring strong professional service experience and the ability to manage a varied workload, responding flexibly to diverse demands. Advanced digital and IT skills are essential, including proficiency in Office 365 (OneDrive, SharePoint, Teams, Word, Excel, PowerPoint, Outlook), internet research, and platforms such as Workvivo. They will demonstrate excellent interpersonal and written communication skills, producing high‑quality documents, taking accurate minutes, and engaging effectively with colleagues and external stakeholders. Strong organisational skills, the ability to meet deadlines, and experience managing competing priorities are required. The postholder will be a collaborative team member who builds positive relationships, exercises sound judgment, takes initiative, and demonstrates motivation, resilience, and enthusiasm.
Desirable attributes include experience in continuous improvement, familiarity with higher‑education structures, systems, and policies, and experience in academic administration.
