Are you ready to take the next step in your facilities management career?
Our client is now hiring for the role of Facilities Executive to join a dynamic and high-performing team. The successful candidate will play a key role in ensuring the effective delivery of hard and soft services, project implementation, and progress on sustainability and climate action initiatives.
This role will act as the main point of contact for soft services and front-of-house operations under an existing facilities management contract. Additional responsibilities include mechanical and electrical oversight, project management, health & safety compliance, budget management, office services, and supporting the lease management of the organisation’s property portfolio.
The position is based at the organisation’s Global Headquarters in Dublin, with travel required to manage the associated FM contract across multiple sites. Applicants must be technically strong and able to demonstrate experience in multi-site facilities management, project delivery, procurement, and health & safety.

Responsibilities
  • Manage the daily operational services delivered by the FM service provider across nine regional offices, supporting the organisation’s global network.
  • Lead the delivery of all soft services, including reception, security, alarm monitoring, confidential waste, sanitary and pest control services, window cleaning, plant maintenance, and general office cleaning.
  • Review PPM reports and associated recommendations.
  • Project-manage externally appointed contractors and consultants to ensure efficient and cost-effective delivery aligned with organisational priorities.
  • Oversee room setups for internal events and large visitor bookings, ensuring service standards and KPIs are met.
  • Support the property and lease management function for the organisation’s office portfolio.
  • Manage the preventative maintenance programme across all sites, ensuring full compliance with health & safety and legislative requirements, including dual monitoring of critical hard services (e.g., emergency lighting, PAT testing, thermal imaging, gas detection, legionella sampling).
  • Support procurement and tendering processes in line with public-sector best practice.
  • Adhere to applicable public procurement frameworks and internal procedures.
  • Support ongoing review and implementation of the organisation’s health and safety policies across all domestic and international offices.
  • Liaise with landlords and sub-tenants on day-to-day operational matters.
  • Manage facilities-related projects as required.
  • Use technology effectively to ensure strong governance and efficient delivery of facilities operations.
  • Demonstrate flexibility in supporting additional activities within the Global Facilities Department as required.
  • Prepare and present proposals to internal committees and boards when needed.
  • Support lease expiry and dilapidation processes across the property portfolio.
  • Maintain continuous personal development through formal and informal learning and participation in the performance review process.

What You Will Need to Succeed
  • Proven track record managing soft services in a multi-tenant environment and across multiple sites.
  • A relevant Level 8 degree (National Framework of Qualifications).
  • Full clean driving licence.
  • Minimum of 5 years’ experience in soft services and facilities contract management.
  • Willingness to travel and work outside normal office hours when required.
  • Strong commercial and technical (hard services) knowledge.

Desirable Skills

  • Health & Safety training/qualification
  • Experience creating tender documentation
  • Experience using the eTenders procurement portal
  • Knowledge of environmental and sustainability practices

What You Will Receive
  • A competitive salary of €50,000 to €65,000 and a reward package commensurate to experience.
  • Hybrid working model after probation period 2 days from home.
  • Lump sum for long service
