A Facilities Coordinator is required in Limerick to support operations & maintenance at a large campus.

We have a client in Limerick that is looking to recruit someone for the role of Facilities Coordinator to support the day-to-day operations, maintenance, and administration of services deployed at a large campus (a multi-tenant commercial property). This role ensures that building systems, services, regulations, and tenant needs are efficiently managed while maintaining a safe, clean, and compliant environment. The Facilities Coordinator acts as a key liaison between tenants, contractors, and management.

Qualifications & Experience
• Minimum 3 years’ experience in facilities, property, or commercial building management.
• Knowledge of building systems (HVAC, electrical, plumbing, BMS) and service coordination.
• Familiarity with health and safety and compliance requirements (e.g., risk assessments, fire safety).
• Proficiency in Microsoft Office Suite and very comfortable with new technology integration.
• Strong organisational, communication, and problem-solving skills.

Key Responsibilities
Operations & Maintenance
• Manage and monitor management services including HVAC, electrical, plumbing, waste management and security/CCTV etc).
• Log and track reactive and preventive maintenance requests through an app-based system.
• Support contractors performing maintenance, repairs, routine service delivery and projects on-site.
• Conduct regular property inspections to ensure cleanliness, safety, and compliance with standards.
• Lead the scheduling, tracking, and documentation of planned maintenance programs.
• Present an annual plan for minor capital works requirements across the Campus.

Tenant Liaison
• Serve as the first point of contact for tenant engagement.
• Manage co-working facility.
• Communicate maintenance updates, disruptions, and works notices to tenants.
• Support tenant onboarding and move-in/move-out coordination.

Health, Safety & Compliance
• Ensure adherence to all regulatory compliance and company policies.
• Maintain accurate records of risk assessments, incident reports, and compliance documentation.
• Lead emergency preparedness, fire drills, and contractor safety inductions.
• Support sustainability and environmental initiatives where applicable

Project and Management Support
• Assist with capital works and refurbishment projects, coordinating contractors and schedules.
• Track project timelines, budgets, and completion reports.
• Deputise for management from time to time in meetings and support stakeholder engagement.

• Excellent interpersonal, stakeholder management skills and empathy.
• Demonstrate a strong interest in the company mission, equalled with work ethic.
• Team player, but crucially, the ability to work independently when required.
• Flexible and adaptable to changing operational needs.

Desirable
• Experience working with facilities management systems or software.
• Ability and curiosity to improve processes through the adaption of technology.
• Experience in multi-tenant office buildings, mixed-use developments, or commercial portfolios.
• First Aid, Fire Warden, or H&S training certification.
