Your new company

You will be joining a large, well-established academic organisation within a professional and research-led environment. The organisation supports teaching, research and administrative functions and operates with a collaborative, service-focused culture. The team works closely together to support academic programmes, examinations, events and day‑to‑day operations.

Your new role

This is an entry-level Executive Assistant / administrative role providing essential support across a busy academic school. The position is full-time and temporary (2–3 months), supporting core administrative functions during a key operational period.
Based at main reception, you will assist with managing shared inboxes, responding to phone and email enquiries, and handling general administrative duties. Responsibilities will include supporting ordering and invoicing processes, arranging courier services, booking rooms, catering and accommodation, and assisting with website updates.
You will also provide administrative support across examinations and academic programmes, including assisting with exam processing, programme records, medical certificates and mitigation processes, and routine form processing. Additional duties include supporting research administration tasks and providing flexible assistance across designated areas such as health & safety, outreach and event coordination.
A key project within this role will be supporting the final logistics of a two‑day research colloquium taking place in June, working closely with the event committee.

What you'll need to succeed

To succeed in this role, you will have strong organisational skills and excellent attention to detail, along with good written and verbal communication abilities. You will be comfortable using Microsoft Office applications, including Teams, Word, Excel and Outlook, and able to manage multiple tasks while prioritising work effectively in a busy environment. A flexible, proactive and reliable approach is essential, as the role requires supporting different team members and functions as needed. Previous administrative or office experience is beneficial but not essential, making this role well suited to someone at an early stage of their administrative or Executive Assistant career.
