Estates Management Administrator
Governance & Reporting (G&R) | Workplace Operations (WPO)
Location: Central Park, Sandyford, Dublin
Working Model: Hybrid (3 days onsite per week)
⏰ Hours: 37 hours per week
Contract Duration:6 months (initial)

About the Role
An exciting opportunity has arisen for an Estates Management Administrator to join the Governance & Reporting (G&R) team within Workplace Operations (WPO).
The G&R team is responsible for managing client's Group's property portfolio, overseeing key Group-wide supplier contracts, supporting financial and business performance reporting, and driving governance and risk initiatives across the function.

The Estates Management team manages a diverse portfolio of approximately 270 properties across Ireland, Northern Ireland, Great Britain and the United States. The team oversees acquisitions, disposals, lease renewals, break options, rent reviews and a broad range of property management activities.
We are seeking a motivated, organised and detail-oriented individual who enjoys working with data, managing multiple priorities and engaging with a wide range of stakeholders.

Key Responsibilities
  • Review and process invoices through the Coupa system.
  • Maintain and update trackers, records, reports and processes to ensure ongoing compliance.
  • Compile and analyse data to support projects and initiatives.
  • Engage with stakeholders across Workplace Operations, the wider business and external suppliers.
  • Provide administrative support to the Estates Management team.
  • Assist with maintaining accurate property portfolio records and documentation.
  • Support the delivery of governance, reporting and compliance requirements.
  • Ensure all work is completed in line with internal policies and procedures.
About You
The ideal candidate will have:
  • Strong administrative and organisational skills.
  • Excellent attention to detail and accuracy.
  • Strong communication and stakeholder management skills.
  • The ability to work independently and collaboratively within a team environment.
  • Excellent time management and prioritisation skills.
  • Good working knowledge of Microsoft Excel and the wider Microsoft Office suite.
  • A proactive, positive and solutions-focused approach.
  • Previous experience within administration, property, estates, facilities management, workplace operations or a similar environment would be advantageous.
  • Experience with invoice processing, procurement systems or reporting tools is desirable.
