Your new role

As a Corporate Services Administrator, you will play a key role in supporting the Finance & Operations Manager and other departments. Your day-to-day responsibilities will include providing secretarial support such as document preparation, email management, and maintaining both digital and manual filing systems. You will attend meetings in a corporate secretarial capacity, where you will be responsible for preparing agendas, taking minutes, and tracking follow-up actions.
You will manage general office administration and assist with utility billing processes by downloading monthly bills and submitting them to a third-party bookkeeping service. You will also support the preparation of reports for internal and external stakeholders, including contributions to the Annual Assembly report. In addition, you may be asked to assist the Projects & Sustainability Manager with administrative tasks and support the finance team with invoicing and related duties.
Familiarity with the organization’s property portfolio will be important, as you will manage documentation related to property leases and licences. You will also be responsible for maintaining HR records and ensuring compliance with internal policies. Other administrative duties may be assigned by the Finance & Operations Manager as needed.

What you'll need to succeed

To be successful in this role, you should have strong administrative and organisational skills, along with the ability to work independently and as part of a small team. Excellent communication and report-writing skills are essential, as is proficiency in Microsoft Office applications such as Word, Excel, PowerPoint, and Outlook. A proactive, detail-oriented approach to work will serve you well in this position. Previous experience in a company secretarial or similar administrative role would be an advantage.
