Bid Coordinator - Dublin Airport Office - MEP and Architecture

As they enter an accelerated growth phase across several business sectors, they are recruiting for a Bid Coordinator. They put a strong emphasis on staff, learning and development, and progression.

Your New Role
We are seeking a creative and highly organised Bid Coordinator with strong graphics capability to support the development of high-quality, visually engaging bid submissions for large construction, engineering, and infrastructure projects across Ireland and Europe.
This is a hybrid role combining tender coordination, document management, and graphic design, playing a key role in improving the quality, consistency, and competitiveness of our proposals.
The successful candidate will be comfortable working to tight deadlines, collaborating with technical teams, and producing professional, brand-aligned bid documents that clearly communicate our value to clients.
Key Responsibilities:
Bid & Tender Coordination
  • Coordinate the end-to-end bid process from pre-qualification (PQQ) to final tender submission.
  • Manage timelines, trackers, and bid schedules to ensure all internal deadlines are met.
  • Issue information requests to internal contributors and chase content.
  • Organise bid review sessions and maintain version control.
Graphic Design & Visual Content
  • Design and produce compelling bid graphics including infographics, process diagrams, organisational charts, CV layouts, case study visuals, and programme illustrations.
  • Apply branding, formatting, and layout to technical content using company templates.
  • Translate complex technical information into clear, professional visual content.
Document Production
  • Create and format high-quality proposal documents in Microsoft Word, PowerPoint, and InDesign (if used).
  • Support graphic production in Adobe Creative Suite (Illustrator, InDesign, Photoshop).
  • Create and amend CVs and project case studies.
Content & Library Management
  • Maintain and update the company’s bid library, including case studies, CVs, project information, and templates.
  • Support continuous improvement of bid processes and resources.
Stakeholder Collaboration
  • Work closely with Bid Managers, engineers, project teams, and senior leadership to gather and present information.
  • Assist with presentations and pitch materials for client meetings.
Quality Control
  • Proofread submissions and ensure content is accurate, compliant, and consistent.
  • Check alignment to client instructions and evaluation criteria.

What You Need to Succeed
Key Requirements
  • 2–5+ years’ experience in a bid coordination, proposal support, or marketing role (construction, engineering, consultancy, or similar preferred).
  • Strong graphic design capability and proven experience creating documentation for tenders or proposals.
  • Proficiency in:
    • Adobe InDesign, Illustrator, Photoshop
    • Microsoft Word & PowerPoint (advanced)
  • High attention to detail and strong organisational skills.
  • Ability to work under pressure and to multiple deadlines.
  • Excellent written and verbal communication skills.
  • Experience working in fast-paced, deadline-driven environments.
Preferred / Advantageous
  • Experience in construction, MEP, data centre, or infrastructure sectors.
  • Knowledge of tender portals (eTenders, Ariba, Procore, etc.).
  • Understanding of pre-qualification questionnaires and procurement frameworks.
  • Degree in Graphic Design, Marketing, Communications, or related field.
