Your new role
As an Administrative Assistant/Senior PA, you will play a key role in supporting a team of trade union officials, operational colleagues, and members. Acting as the first point of contact for member queries, you’ll respond with empathy, professionalism, and efficiency. You’ll provide high-level administrative support, including preparing complex documents, managing correspondence, coordinating meetings, and maintaining accurate member records. Based in the Cork office, you’ll work closely with the senior AGS to ensure smooth reception and facilities management, supervise contractors and cleaners, and guide Grade 4 administrative staff. Your responsibilities will also include assisting with ballots and elections, managing petty cash, and contributing to cross-functional support across the team. This is a dynamic and rewarding role where your organisational skills and attention to detail will make a real impact.
What you'll need to succeed
The successful candidate will demonstrate a high level of administrative competence, with the ability to manage a diverse range of responsibilities in a professional and efficient manner. You will possess excellent communication skills, enabling you to respond effectively to queries from a wide variety of stakeholders, both internal and external. A strong attention to detail is essential, particularly in the preparation of documents, correspondence, and the maintenance of accurate member records. You will be experienced in coordinating meetings, managing diaries, and supporting reception and facilities operations, including the supervision of contractors and cleaners. The role also requires the ability to guide junior administrative staff, manage petty cash in accordance with established procedures, and assist with ballots, elections, and reporting. A flexible and collaborative approach, coupled with discretion and a commitment to high standards, will be key to your success in this role. Very occasional overnight travel within Ireland (less than 10 days per year).There may be occasional travel to member workplaces and other office locations. Ideally, the successful candidate will hold a full driver’s licence and have access to a car.
