Your new role
You will play a central role in the smooth day-to-day operation of a professional Dublin-based office. You will act as a key point of contact for staff, visitors, suppliers and external stakeholders, ensuring the office environment is well managed, welcoming and efficient. This is a varied, hands-on position that combines office management, reception, administration and event coordination, working closely with senior leadership and wider support teams.
This is a full-time, permanent, in-office role based in Dublin.
Your responsibilities
- Oversee the general management of the office, including coordination with landlords and service providers.
- Manage office facilities such as alarms, access keys and fobs
- Coordinate emergency procedures including fire safety, security and first aid
- Handle day-to-day office administration, including post, couriers, stationery, catering and travel arrangements
- Carry out general reception duties such as answering calls, emails and correspondence
- Maintain and update document templates and office records
- Liaise with administrative colleagues across other offices, as well as HR and Finance teams
- Assist in maintaining high office standards and a professional working environment
- Organise and manage internal events and social activities, including office upgrades, team lunches, client events and seasonal celebrations.
- Support engineers and the bid team with tender documentation when required
- Work closely with senior management to manage filing systems, archiving, petty cash and office equipment servicing
- Liaise with mobile phone providers and external suppliers
- Handle sensitive information with discretion, including financial and confidential documentation
What you'll need to succeed
- Strong written and verbal communication skills with a professional manner
- Previous experience in an Office Administrator or PA role
- Confidence managing front-of-house and reception duties
- Experience supporting HR processes, including onboarding and inductions
- Background in construction, engineering or site administration would be an advantage.
- Strong organisational skills with the ability to multitask and meet deadlines
- High attention to detail and the ability to work well under pressure
- A proactive, positive and flexible approach, with the ability to use initiative
- Competency in Microsoft Word, Excel, Outlook and Teams
- Willingness to adapt to additional administrative and office duties as required
