Executive Assistant | Cork | 21 Hours Per Week | Temp (1 Month)

An exciting opportunity has arisen within a well‑established third‑level student support service. The organisation provides a professional, student‑centred counselling and development service and is committed to delivering a high‑quality, confidential, and responsive experience for all service users. You will be joining a supportive administrative and clinical team working within a modern, paperless environment where discretion, professionalism, and adherence to best practice are prioritised.

Your new role

As Executive Assistant, you will act as the first point of contact for students and visitors accessing the service. Working closely with senior administrative staff and the wider counselling team, you will support the delivery of an efficient, compliant, and student‑focused service.
Your responsibilities will include:
  • Providing front‑of‑house reception and administrative support, including opening/closing the reception and waiting area.
  • Scheduling appointments and signposting students appropriately, escalating concerns to senior colleagues where required.
  • Managing confidential correspondence, scanning documents, and maintaining accurate electronic records.
  • Providing IT support for software systems and assisting with data compilation, report generation, and presentation preparation.
  • Uploading materials for digital displays and providing administrative support for meetings, including minute‑taking.
  • Supporting the Head of Service and counselling team with general administrative tasks as required.
  • Assisting in the implementation of health and safety procedures and contributing to a culture of safety and compliance.
  • Working within GDPR requirements, service protocols, and university‑wide policies.
Please note: Garda Vetting is required for this role. The working pattern is subject to change depending on operational needs.


What you'll need to succeed

To succeed in this role, you will bring strong software proficiency with the ability to quickly learn new systems, alongside advanced IT skills and proven experience using the full Microsoft Office Suite. You will have a track record of managing sensitive and confidential information with complete discretion, supported by excellent organisational skills and high‑quality record‑keeping. Strong interpersonal and communication skills—both written and verbal—are essential, as is the ability to work independently, manage competing priorities in a pressurised environment, and escalate concerns when appropriate. You will be someone who adheres to procedures and protocols consistently, with desirable experience including the use of electronic databases, Agresso, or previous work within a counselling or community‑based support environment.
