Quality Systems Administrator | 6 Months | Hybrid | Cork

Your new company

This leading research institute is powered by a dynamic Quality Team that champions accredited Quality Management Systems. With a strong focus on aligning internal processes to international standards and strategic objectives, the team plays a pivotal role in delivering high-quality research outcomes. They drive continuous improvement through expert leadership, project management, and data-driven analysis—engaging stakeholders at every level to embed best practices and foster a culture of ownership. Innovative communication and a commitment to excellence underpin their approach to quality and performance.

Your new role

As Quality Administrator, you’ll play a key role in supporting the delivery and continuous improvement of certified Management Systems, reporting to the Quality Systems Controller. You’ll manage document control, ensure compliance with evolving standards, and facilitate the application of quality policies across research and operational teams. Your responsibilities will include preparing QMS, CAPA, and KPI reports, coordinating internal and external audits, and resolving routine queries with precision. You’ll also lead inductions and targeted training, contribute to public engagement activities, and champion quality practices across the organisation. This is a hands-on role that blends administrative rigour with proactive collaboration, helping to embed a culture of excellence and compliance.

What you'll need to succeed

Candidates should possess a minimum of three years’ experience in quality coordination or document control within a regulated environment. A professional and discreet approach is essential, alongside a commitment to confidentiality and an efficient, accommodating manner. Proficiency in digital tools, particularly the Microsoft Office suite—including Word, Excel, PowerPoint, SharePoint, and Power BI—is required, as is familiarity with electronic quality management systems such as QT9. The role demands a flexible, solution-focused mindset, strong self-motivation, and excellent interpersonal and communication skills, with the ability to engage effectively with internal and external stakeholders at all levels. A sound understanding of ISO 9001 requirements is essential.
Additional qualifications that would be an advantage are knowledge of other ISO standards, experience in reporting and data analysis, and the ability to work independently as well as collaboratively. A proactive and adaptable approach, coupled with the capacity to manage multiple tasks and deliver outcomes within set timeframes, is highly desirable.
