We are recruiting for Ireland's leading Museum institution, hiring a Procurement Executive Officer to work within their Finance Unit. The appointment is a 1-year fixed term position at EO level with a probation period of up to 6 months.
Your new role
The role will provide administrative assistance to the museum’s finance and procurement function for the 1-year period. During this period, the Finance and procurement function will be focused on a number of major projects including:
- An agreed capital works program in partnership with the parent department
- The post-migration phase to a procurement-led, ORACLE-based Financial Shared Services System
- The further development of daily procurement operations.
Reporting to the Procurement Officer, the Procurement EO will support the Procurement Officer with day-to-day administrative tasks, advising on, overseeing and occasionally holding below threshold procurement competitions.
- Operation of the ORACLE financial system, creating and managing contracts within the system, and running regular reports using BI Publisher;
- Sharing the responsibility of overseeing the procurement mailbox with the procurement officer;
- Preparation and drafting of notification letters, evaluation sheets and other procurement documentation;
- Assisting in the preparation of the above-threshold procurement competitions for publication;
- Being a primary point of contact for minor procurement queries;
What you'll need to succeed
Procurement Administration:
Create and maintain contracts on the Oracle financial system
Maintain electronic procurement records on SharePoint
Monitor and respond to queries and requests in the procurement mailbox.
Support and advise museum staff on below threshold procurement with the view to ensuring compliance with procedure and within the context of existing frameworks;Draft procurement documentation such as evaluation sheets and notification letters for the above-threshold procurement competitions and prepare the same for publication;
Encourage and implement best practices in document filing and management of procurement data;
Capital Projects:
